CORPORATE RECEPTIONIST – CITY LAW FIRM – 11AM – 7PM

My client, a leading international law firm based in the City, are seeking a Corporate Receptionist to join their team to cover the 11am – 7pm shift Monday to Friday. 

THE ROLE

  • Provide a professional, warm, and polished welcome to all guests and employees.
  • Ensure visitors are directed to the appropriate location and hosts are notified quickly
  • Act as the first point of contact for all visitor enquiries, including meeting logistics, photocopying, and wayfinding.
  • Coordinate and allocate office space for visitors and maintain an accurate weekly visitor schedule.
  • Manage incoming switchboard calls promptly and professionally, using the appropriate greeting.
  • Transfer calls efficiently, take accurate messages, and distribute relevant information as needed.
  • Report telephony faults (e.g., voicemail or handset issues) to the Technology Support Team 
  • Maintain, update, and distribute telephone contact lists for staff, meeting rooms, and Ground Floor Reception.
  • Manage and coordinate all meeting room bookings (internal, external, and video conferencing), ensuring all details are logged.
  • Arrange and oversee food and beverage requirements in collaboration with the hospitality team
  • Ensure an exceptional standard of service for all client-facing events and visitor engagements
  • Partner with the Facilities team to coordinate weekly staff lunches, including administration, vendor liaison, and delivery management.
  • Ensure an effective and thorough handover of all Reception and Switchboard duties to the evening staff at the end of each shift.
  • Support additional administrative and operational duties as required to maintain smooth office operations.

Skills and Attributes

  • Proficiency in MS Office.
  • Flexibility to work overtime if required.
  • Outstanding verbal communication and telephone etiquette.
  • Exceptional organisational skills with strong follow-up and attention to detail.
  • Ability to prioritise effectively and manage multiple tasks in a fast paced environment.
  • Sound judgment and strong problem-solving capabilities.
  • High level of professionalism, discretion, and confidentiality.
