Legal PA – Financial Markets
 12-month FTC | London | Full-time

An exciting opportunity has arisen for an experienced Legal PA to join a leading international law firm within its Global Financial Markets team, supporting the Derivatives & Structured Finance practice on a 12-month fixed-term contract.

This role requires a highly organised, proactive and client-focused PA who can provide seamless support to a Partner and a team of Associates at varying levels. The successful candidate will play a key role in ensuring the smooth running of the team, enabling fee earners to focus on delivering exceptional client service and developing business.

The Role

You will provide high-quality PA support across a range of responsibilities including diary management, matter coordination, finance administration, travel planning and business development support.

Key Responsibilities

Legal PA Support

  • Proactively manage complex diaries, anticipating scheduling conflicts and resolving issues efficiently
  • Coordinate internal and external meetings, ensuring all arrangements are in place, including hybrid meeting technology and links for attendees
  • Assist with inbox management where required, helping fee earners prioritise communications
  • Plan and organise comprehensive travel arrangements, including flights, accommodation, transfers and itineraries
  • Handle telephone calls professionally, ensuring messages and queries are managed appropriately
  • Prepare correspondence, presentations and reports, working with central support teams where required
  • Stay up to date with internal systems and technology to ensure the most efficient ways of working
  • Act as a first point of contact for the team regarding technical queries and new systems
  • Ensure compliance with firm policies, procedures and client confidentiality standards
  • Maintain strong communication across a hybrid-working team, delivering consistent support regardless of location

Matter / Deal Support

  • Coordinate the matter inception process and ensure all documentation is completed accurately
  • Prepare engagement letters and related documentation
  • Liaise with matter managers and fee earners to improve efficiencies throughout the lifecycle of matters
  • Oversee matter administration and ensure processes are followed correctly

Finance & Billing

  • Assist fee earners with expense submission processes
  • Promote best practice in time recording
  • Support the billing process alongside partners and finance teams to ensure timely and accurate invoicing
  • Organise working capital meetings and follow up on key actions
  • Edit time narratives in 3E in line with client requirements
  • Monitor matter time and assist with billing guides and invoice coordination

Business Development Support

  • Assist with client pitches and marketing initiatives
  • Help coordinate client events, both virtual and in person
  • Maintain client contact records and update experience databases
  • Work closely with Business Development teams to ensure relevant information is captured
  • Build strong working relationships with key client contacts and internal stakeholders
