An exciting opportunity has arisen for an IP Legal Secretary / IP Support Specialist to join a leading intellectual property firm based in London, providing high-level, specialist support to fee earners across multiple IP practice areas.

This role will support fee earners across IT & Engineering, Chemistry & Life Sciences and Trademarks, offering broad exposure and varied responsibilities.

The Role

You will provide comprehensive administrative and work management support to fee earners, ensuring the smooth running of matters and a consistently high standard of client service. This is a detail-driven role requiring strong organisation, accuracy and the ability to manage multiple priorities.

Key responsibilities include:

  • Managing incoming and outgoing correspondence and maintaining accurate electronic files
  • Monitoring deadlines and prompt lists, reminding fee earners of key dates
  • Preparing and typing correspondence, reports, specifications and legal documents
  • Ensuring compliance with internal procedures and standard operating processes
  • Checking and maintaining accurate case and client data on internal systems
  • Assisting with meeting coordination, travel arrangements and diary support
  • Preparing e-forms and documentation for submission
  • Creating invoices and processing via e-billing platforms
  • Proofreading documents and specifications
  • Liaising with fee earners, clients and internal support teams
  • Providing telephone and Teams support
  • Supporting colleagues during absences and assisting across teams as required
  • Attending training sessions, know-how meetings and regular catch-ups
  • Volunteering for additional responsibilities to support team development

About You

This role will suit someone who enjoys working in a structured, professional services environment and takes pride in delivering accurate, high-quality support.

You will ideally have:

  • Previous experience in a professional services or legal environment (IP experience is highly desirable but not essential)
  • Strong attention to detail and excellent organisational skills
  • The ability to manage multiple deadlines and priorities
  • A confident, professional communication style
  • Strong relationship-building skills
  • Proficiency in Microsoft Office
  • A proactive, positive and team-oriented approach
