Full-time | 6m FTC | 4 days office-based / 1-day WFH
An exciting opportunity has arisen for an experienced Legal Secretary to join a highly regarded international law practice in its London office. This position offers the chance to support fee earners across multiple practice groups within a collaborative, fast-paced and professional environment.
You’ll be part of a friendly, team-oriented secretarial function, working closely with the UK Office Administrator and Secretarial Lead to deliver exceptional support to lawyers and clients.
The Role
As a Legal Secretary, you will provide wide-ranging administrative and secretarial support, ensuring the smooth running of daily operations. Responsibilities include:
- Producing, editing and formatting complex legal documents
- Preparing letters, memos and documents using firm templates
- Managing calls, inboxes and correspondence
- Maintaining electronic and hard copy filing systems
- Conducting conflict checks and opening new clients/matters
- Complex diary management and coordinating meetings across time zones
- Organising international travel, itineraries and business visas
- Liaising with clients, partners and internal teams globally
- Event administration, including invitations, RSVP tracking and reservations
- Assisting with the organisation of the annual team retreat
- Time entry, expense processing and monthly billing using Proforma Tracker
- Maintaining accurate client contact records (InterAction)
- Providing cover and support for other secretaries during absence
- Assisting with the London Internship Programme and candidate administration
- Collaborating with internal support teams (Reception, Facilities, IS, etc.)
What We’re Looking For
We’re seeking a confident and proactive Legal Secretary who thrives in a busy, international legal environment. You should bring:
- Strong document production skills and fast, accurate typing
- Advanced MS Office skills, especially Word and PowerPoint
- Experience with document management systems (e.g., iManage, Teams/OneDrive)
- Previous exposure to an international law firm environment
- Excellent interpersonal skills and the ability to communicate clearly and professionally
- Strong organisational ability with excellent time management
- A high level of accuracy, attention to detail and discretion
- Ability to work collaboratively within a team-focused culture
- A flexible, enthusiastic and proactive approach with a “can-do” attitude
- Preferred qualities include strong common sense, confidence in asking questions, willingness to support others, and readiness to work additional hours during busy periods.
Hours & Working Pattern
35-hour week, typically 9:30–17:30, with flexibility required Hybrid working: minimum 4 days in the office / 1 day WFH Overtime payable in accordance with policy (including weekends and bank holidays)
