Team Administrator (18-Month FTC)

An international law firm is seeking a proactive and highly organised Team Administrator to join its London office on an 18-month fixed-term contract.

This is a fantastic opportunity for someone with strong administrative experience - ideally within a legal or professional services environment - who thrives in a fast-paced, collaborative setting and enjoys being a key support to a busy team.

The Role

You will provide efficient and proactive administrative support to Partners, Associates and the wider secretarial team, ensuring the smooth day-to-day running of the practice.

Key responsibilities include:

  • Managing and submitting expense claims, ensuring accuracy and timely processing
  • Supporting with diary coordination, scheduling meetings across multiple time zones and resolving conflicts
  • Assisting with travel arrangements, including international itineraries, accommodation and visa coordination
  • Providing document support, including formatting, proofreading and amending legal documents
  • Updating client and contact information within internal systems
  • Assisting with new client and matter opening processes, including liaising with compliance teams
  • Maintaining accurate electronic and hard copy filing systems
  • Supporting with general administrative tasks such as printing, scanning, courier arrangements and ad hoc team support
What They’re Looking For
  • Previous administrative experience (ideally within a law firm or professional services environment)
  • Strong working knowledge of Microsoft Office (Word, Excel, PowerPoint)
  • Highly organised with excellent attention to detail
  • Confident managing multiple tasks and working to tight deadlines
  • Strong communication skills and ability to work with stakeholders at all levels
  • A proactive, flexible and team-oriented approach
  • Comfortable working with systems and quick to learn new technology
