We are working with a leading UK law firm seeking a highly organised and proactive Administrator to join their real estate team on a 12-month fixed-term contract. This is an excellent opportunity for someone with strong administrative experience who enjoys working in a fast-paced, detail-focused legal environment.
The Role
This position plays a key part in supporting the wider team with a broad range of administrative, property, and finance-related tasks. You will be responsible for ensuring the smooth and accurate completion of key processes, working closely with fee earners, secretaries, and internal support teams.
The role requires strong attention to detail, the ability to manage competing priorities, and confidence in working with legal systems and documentation.
Key Responsibilities
- Using the Land Registry Portal to obtain official copies, priority searches, SIMs, and other documentation
- Drafting Stamp Duty Land Tax (SDLT) returns for review and submission
- Preparing and drafting Land Registry applications for review and submission
- Managing and diarising key critical dates (e.g. SDLT deadlines, Land Registry timelines), liaising with fee earners as needed
- Setting up and maintaining data rooms using internal systems, including coordinating uploads and downloads
- Preparing deed schedules for both internal storage and external delivery, including retrieval from off-site storage
- Ensuring accurate and timely electronic filing in line with firm procedures
- Supporting file opening processes, including client/matter forms, conflict checks, and drafting initial client care letters
- Issuing invoices and saving documentation appropriately to internal systems
- Assisting with matter closure processes and associated administration
- Assisting with finance tasks, including credit notes, payments, transfers, receipts, WIP write-offs, and transfers
- Providing printing, scanning, and copying support, liaising with the general office where required
- Obtaining indemnity insurance quotes where required
- Conducting Companies House searches and assisting with the satisfaction of charges
- Carrying out insolvency, bankruptcy, and winding-up searches
- Supporting general administrative workflows in line with internal policies and quality standards
About You
- Previous experience in an administrative role, ideally within a legal or professional services environment
- Strong organisational skills with excellent attention to detail
- Confident working with multiple systems and managing deadlines
- Able to work independently while also being a strong team player
- Comfortable handling high-volume, process-driven work
- Professional communication skills and a proactive approach
- Strong IT skills, particularly Microsoft Office
