We are recruiting on behalf of a leading international law firm for an experienced Senior Legal Secretary to join its highly regarded Private Equity team in London. Fluency in both French and English (spoken, written, and reading) is essential for this role.
As a key member of the team, you will provide proactive secretarial and administrative support, ensuring the smooth day-to-day running of a busy practice. Your responsibilities will include:
Key Responsibilities
- Managing busy and complex diaries, arranging meetings, and resolving scheduling conflicts.
- Preparing, formatting, amending, and proofreading legal documents, presentations, and correspondence.
- Monitoring and managing fee earner inboxes, ensuring emails are actioned and filed appropriately.
- Assisting with the billing process and liaising closely with the Finance team.
- Supporting the opening of new clients and matters, including conflict checks and engagement documentation.
- Organising international travel and preparing detailed travel itineraries.
- Maintaining and updating contact databases and CRM systems.
- Managing electronic and hard copy filing systems to ensure records are accurate and up to date.
- Processing time entries and expense claims where required.
- Handling telephone calls and correspondence professionally and efficiently.
- Coordinating document production tasks, including scanning, printing, and binding.
- Providing support with business development activities and maintaining strong working relationships with clients and internal teams.
- Collaborating with colleagues across the wider business support function and contributing to a positive team environment.
About You
- Previous experience supporting partners within a legal environment.
- Fluent in French and English, both written and spoken.
- Strong IT skills, with a good working knowledge of Microsoft Office (Word, Excel, PowerPoint, and Outlook).
- Highly organised, with the ability to manage multiple priorities and work effectively under pressure.
- A proactive, professional, and flexible approach, with excellent attention to detail.
- A collaborative team player with strong communication and relationship-building skills.
