An exciting opportunity has arisen for an experienced and highly organised individual to join a leading London law firm, supporting senior stakeholders and overseeing the smooth operational running of key practice areas.

This is a pivotal role, working closely with Heads of Department and Partners to drive efficiency, support team performance, and ensure seamless coordination across business services. You will also play a key role in leading and developing a high-performing PA team.

The Role

You will act as a central point of contact across assigned departments, ensuring operational excellence and enabling fee earners to focus on client delivery and financial performance.

Key responsibilities include:

Department Operations

  • Supporting Heads of Department and Partners with non-fee earning projects and day-to-day operational matters
  • Acting as a key liaison between legal teams and business services functions including Finance, HR and IT
  • Monitoring team utilisation, workload and overall wellbeing, flagging any concerns where appropriate
  • Overseeing billing processes in collaboration with Revenue teams, ensuring accuracy and timeliness
  • Managing departmental communications, including joiners, leavers and team changes
  • Supporting salary benchmarking and working closely with HR on people-related matters
  • Ensuring processes and best practices are followed consistently across teams

Business Development Support

  • Working with Business Development teams to ensure key client information and reporting is up to date
  • Supporting the coordination of client activity, events and relationship management initiatives
  • Ensuring internal systems and data (e.g. client interactions) are accurately maintained

PA Team Leadership

  • Leading, mentoring and developing a team of PAs, ensuring a high standard of support is delivered
  • Managing workflow allocation to ensure fairness, development opportunities and efficiency
  • Conducting regular check-ins, performance management and providing ongoing feedback
  • Supporting recruitment, onboarding and succession planning within the team
  • Encouraging a proactive, collaborative and client-focused team culture

Wider Business Contribution

  • Driving consistency in processes and sharing best practice across teams
  • Supporting training initiatives and identifying development needs
  • Contributing to continuous improvement of systems, processes and team effectiveness

About You

  • Strong PA background within a partnership environment (legal or professional services preferred)
  • Proven experience supervising, mentoring or leading a team
  • Highly organised with excellent attention to detail and the ability to manage competing priorities
  • Commercially aware, with experience supporting billing and financial processes
  • Confident communicator, with the ability to build relationships and influence at all levels
  • Proactive, resilient and solutions-focused, with a hands-on approach
  • Advanced Microsoft Office skills and familiarity with document and practice management systems
